Using GroupWise to Send and Receive Faxes

Email going out over the Internet and fax messages intended for the Email Gateway for Generic SMTP are both being sent to targets external to the GroupWise system. For this reason, your fax messages must be addressed similar to the way you address Internet email.

Basic Addressing

Your fax messages must first arrive at the Email Gateway for Generic SMTP before being sent out through the FaxPress. Sending a fax via the Email Gateway for Generic SMTP, then, requires that you address your message to the recipient’s fax number ‘at’ the Email Gateway for Generic SMTP.

Consequently, the outgoing message’s address string must include, at minimum:

the recipient’s fax number
the Email Gateway for Generic SMTP name

To send a fax to (408) 492-1338, for example, the minimum address string required would be:

4085551313@fax.myco.com

where fax.myco.com is the domain name assigned to the Email Gateway for Generic SMTP.

The address string you compose may require a prefix that tells the GroupWise mail server that your message is addressed to an outside target. See your GroupWise administrator for specific information about a required prefix.

Attaching Files

Follow these steps to send a fax-addressed GroupWise message with an attached file.

1. Open your GroupWise email client.
2. From your GroupWise Mailbox, bring up a new Mail To: message window. (Select File>New>Mail.)

3. In the To: field, enter the recipient fax number ‘at’ your SMTP Gateway. (To include additional recipients, use semicolons as delimiters.)
4. In the Subject field, enter a brief description of your fax.
5. Click the paper clip icon to attach a file for the fax recipient to your mail message. The SMTP Gateway allows you to attach document files (specified by the Email Gateway for Generic SMTP administrator) in their native format, which the Email Gateway for Generic SMTP then converts to faxable DCX format.
6. The Insert File dialog box allows you search for the document you’d like to fax. Select the document, then click Insert.

7. Your fax is now ready to send. Use key codes and characters to include information in addition to the recipient’s fax number (i.e., the recipient’s name, voice number, company, your voice number, etc.) on your fax’s cover page.

Additional Addressing Options

If information in addition to the recipient’s fax number is required either for the cover page or for transmission purposes, that information must also be included in the message’s address string. This information is defined using key codes and characters.

Key Codes and Characters

Predefined key codes and characters are used in the address string to define additional cover page information (i.e., the recipient’s name, voice number, company, your voice number, etc.), dialing instructions (i.e., PBX password), and FaxPress information (i.e., bill back code.) Key codes define the additional information you want to include; characters tell the Email Gateway for Generic SMTP how to interpret the information.

If you use any of the addressing characters to send fax messages and the fax attempt fails, contact your SMTP Gateway/GroupWise administrator or your network administrator. The substitute characters GroupWise requires may have not yet been entered.

Adding Name and Company Info Using Key Codes

Key code information is placed in front of the recipient fax number, and must be set off with enclosure characters.

Sending a fax with the recipient’s name and company name on the cover page, for example, requires you to include the key codes n, for name, and cn, for company name in the address string.

The Email Gateway for Generic SMTP’s default enclosure characters are { }, which your GroupWise administrator must replace with substitute characters. Ask your GroupWise administrator what substitute characters to use. The characters [ and ] are used as enclosures in the examples in this chapter.

In the following example, the sender’s Email Gateway for Generic SMTP uses a subdomain name of fax.myco.com. The recipient’s name is Joe Recipient, his company name is Joe’s Co, his voice number is 408-555-1310, and his fax number is 408-555-1313

The complete address in the message’s To: field would look like this:

[n=Joe Recipient] [cn=Joe’s Co] [ph=4085551310] 4085551313@fax.myco.com

Key codes and characters may also be used to specify a personal rather than the default corporate cover page and add a PBX password and dialing pause if necessary.

Adding Fax Addresses to Your Address Book

You may find it convenient to save frequently used fax message addresses in your GroupWise address book.

To add a Email Gateway for Generic SMTP fax address to the email addresses in your Contacts list, follow these steps:

1. From your GroupWise mailbox, select the Address Book icon.
2. In the Address Book window, select the Frequent Contacts tab and click the Add button.

3. In the New Entry window, select Person, then OK.

4. Enter the recipient’s name and email address information, then click OK. This recipient will now appear in your contacts list.
