The FaxPress Server Properties, a collection of the FaxPress server’s configurable fax parameters, are accessed through the client-based administration and fax transmission utility, FaxPress. FaxPress is available on client workstations after the FaxPress client is installed.
The FaxPress Server Properties include these settings:
User Authentication (Novell only)
*Configuration required.
Two of the FaxPress server’s Server Properties, the Line Settings and the Dialing Properties, require configuration immediately before the FaxPress can send and receive faxes. The DID/PBX settings may also need to be configured for PBX system integration. The rest of the Server Properties may be configured once the FaxPress is operational.
Accessing the FaxPress Server Properties
To access the FaxPress server properties, follow these steps:
1. | Open FaxPress. (Start>Programs>FaxPress>FaxPress) If you need more detailed information on logging into FaxPress, see FaxPress: An Introduction. |
2. | Login to the FaxPress server by right-clicking on the serial number or name of the FaxPress, and selecting Login as. Enter supervisor in the User Name field, and leave the Password field blank, unless you’ve already set a supervisor password. By default, the supervisor password field is blank. |
3. | Right-click again on the FaxPress name or serial number, and select Properties to open the FaxPress Server Properties. |
If you log in as a regular user, without supervisor privileges, the FaxPress Server Properties will be grayed out. You must be logged in with supervisor privileges to configure the FaxPress.
This section describes the basic configuration required for the FaxPress to be able to send and receive faxes. The other sections in this chapter provide details on additional configuration options, as well as the configuration required for automatic routing and integration with your T1, PBX system, or DID trunk line.
Before using the FaxPress to send and receive faxes, you’ll need to configure, at minimum, the FaxPress:
■ | Line Settings |
■ | Dialing Properties |
Before beginning the basic configuration, first make sure:
■ | the FaxPress is properly connected to your network and phone system, and is powered on. |
■ | the FaxPress 9.x server software is installed |
■ | either the FaxPress 9.x client for supervisors is installed on a network workstation, preferably on the same segment as the FaxPress. |
After you’re finished with the basic configuration steps described here, be sure to send and receive a test fax using the supervisor account (see Sending and Receiving a Test Fax ) to confirm the settings are correct before going on to either configure your FaxPress for DID/PBX integration (see Automatic Routing: PBX and FaxPress Integration), or to creating and configuring new FaxPress users. (See Creating User Accounts.)

To configure the FaxPress server properties required for the FaxPress to send and receive faxes, follow these steps:
1. | Log onto a network workstation, preferably on the same segment as the FaxPress. The workstation should already have the FaxPress 9.x supervisor’s client installed. |
2. | Open FaxPress. (Start>Programs>FaxPress>FaxPress) If there are three or fewer FaxPress servers on your network, FaxPress will appear immediately. If there are more than three FaxPress servers on the network, or if the FaxPress is on a segment different from the one you’re on, a FaxPress Accounts window will appear, requiring you to select and add the FaxPress server you intend to configure. |

3. | Login to the FaxPress server by right-clicking on the serial number or name of the FaxPress from the FaxPress Neighborhood list, and selecting Login as. Enter supervisor in the User Name field, and leave the Password field blank, unless you’ve already set a supervisor password. By default, the supervisor password field is blank. |
If you log in as a regular user, without supervisor privileges, the FaxPress Server Properties will be grayed out. You must be logged in with supervisor privileges to configure the FaxPress.
4. | If this is the first time you’ve opened FaxPress, you’ll be prompted to activate your FaxPress 9.x software. Select Obtain Key from Web to get your activation key, then enter the key code and click Enable. |
5. | Right-click on the FaxPress server and select Properties. |
6. | The FaxPress Server Properties window will appear, with the Server Settings tab selected. Use the Server field to rename the FaxPress from the default serial number displayed in FaxPress. |
Each of the FaxPress fax lines is independent, operates concurrently with the other fax lines, and must be configured. Using the Fax Line pulldown menu, be sure to go through and configure each fax line, whether or not the line is in use. Fax line settings can also be configured through FaxPress’s Fax Lines folder under the Administration branch.
In the Fax Line field, select a fax line to configure.
If you want to provide the line with an identifier, enter a name or number in the Remote Terminal ID field. The FaxPress will use this information to identify itself to the receiving fax machine during the negotiation phase of the fax transmission. You can enter up to 20 characters for this feature and you may use the same name or number for all available lines.
For your company name or other identifier to appear in the header at the top of each successful fax transmission, enter the name in the Imprint Terminal ID edit box. Enter up to 20 characters.
In the Local Fax Phone Number field, enter the fax number of the line connected to this FaxPress line port.
In the PBX Pre-dial field, enter the prefix your PBX system requires for accessing an outside phone line. Up to five digits are allowed. This is not required if the FaxPress is not connected to a PBX system. Choose to configure either this option or the Same PBX Pre-Dial for All lines option in the Dialing Properties tab. Both should not be configured to function simultaneously. This FaxPress warning screen will appear if the other Same PBX Pre-Dial for All lines option in the Dialing Properties tab is already configured. Choose either to use that existing setting, or go to the Dialing Properties tab, deselect the Same PBX Pre-Dial for All lines setting, and configure your PBX settings here.
FaxPress automatically inserts a 3 second pause after the PBX pre-dial. This means that you do not have to insert a comma after the PBX digits. If the PBX requires an access code on a per user basis, see Creating User Accounts.
In the Dialing Type section, select the radio button that describes the dial type supported by the phone line you connected to the FaxPress. Lines configured for Pulse dialing support phones with rotary dials. Lines configured for Tone dialing support push button and newer dialing systems. Refer to your phone company representative if you need assistance determining the type of dial system your phone lines support.
In Number of Rings to Answer, specify the number of rings FaxPress allows before answering incoming calls. This setting accommodates PBX systems that may require a specific number of rings. The default value is 2.
In theLine Direction section, select the direction of communication you want the line to handle. Select:
■ Bi-Directional if you want the line to handle incoming and outgoing faxes.
■ Input Only for the line to handle incoming faxes only.
■ Output Only for the line to handle outgoing faxes only.
■ Not Connected if you do not want the line to handle incoming or outgoing faxes. If you do not connect a line to an available phone jack, you must configure the line as Not Connected. If there is no phone line connected to the fax port, and Not Connected is not selected, FaxPress will mistakenly send fax jobs through the fax port without the phone line and end up with a job failed status.
The line direction parameter must be set for each line on the FaxPress server. If a line is not currently being used, set this parameter to Not Connected.
You must set a routing type parameter in the Routing Type section. This parameter sets the method the FaxPress will use to distribute faxes received on the current line to user mailboxes. You can select DID, DTMF or Assigned Line User. DID and DTMF are automatic routing systems that may require special equipment, configuration or instructions, or sender intervention, and which place the incoming fax directly into the intended recipient's user mailbox. If the automatic routing system is not used for the current fax line, use Assigned Line To User, the default value, which automatically places unaddressed incoming faxes into a specific FaxPress mailbox. This mailbox can be the default UNADDRESSED mailbox or, once additional user accounts are created, any FaxPress user mailbox. If the default Unaddressed account is used, any user with Supervisor, Router, or Operator privileges can access the Unaddressed mailbox to route the inbound faxes. See Creating User Accounts for more information on user privileges. If the inbound line is assigned to a specific user rather than to the Unaddressed mailbox, the assigned user can route faxes from this mailbox to any other user mailbox.
To deploy inbound production faxing, where incoming faxes are automatically sent to a specified directory, see Administrator Utilities.
For the FaxPress to automatically generate complex phone number, you must configure, at minimum:
■ The local country code
■ The local area code (if any)
■ The long distance preamble
■ The international preamble
■ The number of digits in the local phone number
■ Whether to insert the PBX password, if there is one, automatically at the beginning or end of the fax telephone number.
In the Where I am section, select the area code and country code for your area:
Country code is— The ITU assigned country code for each country. For the US this is 1, for UK this is 44 etc. The country code for the FaxPress is set in the Dialing Properties dialog.
Area code is— The next lower level detail in a phone number. In the US this is a 3 digit number like 408. Some countries like Singapore do not have an area code. In this case, all non-international numbers are local. The area code for the FaxPress is set in the Dialing Properties dialog.
In the To dial from this location section:
For long distance dial— The digit(s) that must be dialed for each long distance call preceding the actual number. In the US, this is 1. This is required for any number dialed whose area code does not match the area code of the FaxPress.
For International dial— The digit(s) that must be dialed for each international call preceding the number. In the US, this is 011. This is required for any number dialed to another country.
In the In my country section:
Enter the maximum number of digits in a local phone number in the The maximum number of digits for a local call is box.
In the US, this is the 7 digit number like 496 0474. A local number is one that does not contain any long distance or international preambles or area codes.
If you are using a PBX system and passwords are required for access to an outside line, in the When dialing through PBX section:
Check Dial Access Code and use the pulldown menu on the right to select whether to insert the password Before or After the number is dialed.
The Same PBX Pre Dial for all lines option, if selected, applies the PBX Pre-Dial codes specified in the International, Long Distance, and Local fields to all fax lines and all users. Choose to configure either this option or the PBX Pre-Dial option in the Line Settings tab. Both should not be configured to function simultaneously. To set the same PBX pre-dial for all lines, select Same PBX Pre Dial for all lines, then specify pre-dial digits for International, Long Distance or Local.
This FaxPress warning screen will appear if the other PBX Pre-Dial option in the Line Settings tab is already configured. Choose either to use that existing setting, or go to the Line Settings tab, deselect the PBX Pre-Dial setting, and configure your PBX settings here.
In the Dialing Rules section:
Click Apply dialing rules to fax numbers to activate the dialing rules you’ve just defined for all phone numbers in your FaxPress native phonebooks. Apply the dialing rules if any of the following scenarios represent your system:
■ Multiple sources of phone numbers, each with possible a different format of stored numbers.
■ The wish to avoid repeated dialing of preamble digits, thus keeping the dialing sequence short.
■ Area code overlays, sometimes requiring the dialing of the complete long distance + area code sequence.
■ The use of the FaxPress in dialing many different counties, with some countries not having a concept of area codes, some countries having different dialing restrictions etc.
■ The use of PBX passwords.
Set the rules for dialing Area codes in the US or Canada by clicking the Area Code Rules button at the bottom of the screen to bring up the Area Code Rules window.
When making local calls in some areas of the US and Canada, the phone company requires the area code or even the long distance preamble plus area code. To specify the requirements for your area, select one of the following:
■ Always dial long distance preamble and area code.
■ Always dial long distance area code
■ Don’t dial the area code In some cases, this requirement applies only when you are dialing specific exchanges. To specify when this is necessary, click the New button in the Dial long distance preambles with the following prefixes: area.
Likewise, when making long distance phone calls, you may not need to use area codes and long distance preambles for certain area codes. Click New to specify the areas codes that do not require the addition of area code numbers in the box for When calling to other area codes.
When you are finished with your selections, click OK to return to the Dialing Properties dialog box.
Click OK when you have finished configuring your dialing properties or select another tab on continue configuring your server properties.
Sending and Receiving a Test Fax
After you’ve configured the FaxPress Line Settings, Dialing Properties, Email settings and, if necessary, DID/PBX settings (see Automatic Routing: PBX and FaxPress Integration) be sure to send and receive at least one test fax to confirm the FaxPress is operational. Once you’ve successfully sent and received a test fax, you’ll next create and configure new FaxPress users according to Creating User Accounts.
To send and receive the test fax, you’ll use the FaxPress supervisor account, one of three generic user accounts already created for you. The other two are the Unaddressed account and the Guest account.
By default, the FaxPress directs all incoming faxes to theUnaddressed mailbox. All of these generic user accounts or mailboxes are initially configured with no password as the default. You can assign a password to the Unaddressed and the Supervisor mailboxes the first time you login to your FaxPress. See Setting the Supervisor Password for more information.
To send a fax using the Supervisor account, follow these steps:
1. | Log in as Supervisor to FaxPress. |
2. | Select the Compose button from the FaxPress menu bar to open the Send Fax window. |
3. | Type the phone number of an external fax machine into the To field, enter a Subject, and enter a message in the message field. |
If you are attaching a file, the only required field for sending a fax is the fax phone number. If you are not attaching a file, you must, at minimum, include a cover page and message.
4. | Select one of the Send Fax buttons. If the Send Fax button in the upper right hand corner is displayed in black and white rather than color, additional information in either the address, subject, or message fields is required to send your fax. |
When the Send Fax icon is displayed in color, all the required information is available and the fax is ready to send.
Active outgoing fax jobs cannot be cancelled once sent.
5. | To receive a test fax, send a fax from an external fax machine to one of the FaxPress fax line numbers. Unless you’ve configured some form of automatic routing or assigned lines to specific users, the Unaddressed mailbox will by default receive all faxes from all inbound fax lines. |
6. | Log into the Unaddressed mailbox just as you would the Supervisor mailbox, expand the Mailbox: Unaddressed branch of FaxPress, and select the Incoming Fax Queue to view your fax. |
